Copyediting Systems
1. When the "Track Changes" feature in MS Word, located under Tools on the Menu bar, is enabled, the copyeditor can make any changes they deem necessary. Added text is displayed in a different color, and deleted text is displayed in the margin as strikethrough, color, or deleted. The copyeditor can write any questions they wish to the author or editor in square brackets. The copyeditor uploads the document to the system for transmission to the editor. The editor reviews the text and presents it to the author for review. The editor and author approve any corrections they deem appropriate, returning it to its normal format, or they may modify it, or add or delete new text in different colors. If there are questions in the text within square brackets, the author and editor should answer these questions within the appropriate parentheses. After the author and editor review the text, the copyeditor reviews it one last time and approves the changes, and the text is ready for editing and typesetting. 2. Instructions for Electronically Editing a Draft Article Using the Harvard Educational Review Method When making electronic edits to a draft, follow these steps: Responding to Suggested Changes If you approve of the suggested changes, change the text from bold to regular font. If you do not approve of the suggested changes, re-enter the original text and make it bold. Making Additions and Deletions Mark the sections you add by making them bold. Mark the text to be deleted with square brackets as follows: [text to be deleted] If you are deleting a sentence or more, add a note in the appropriate field. For example: [2 sentences deleted: text to be deleted] Responding to Questions to the Author Do not touch or delete questions to the author; remain within the text.
