Access to archival
records is directly proportional with the content of records as well as
descriptive areas. One of the stages of archiving, summarization, represents a
professional, grammatical and meaningful process that needs to consist the
words the user/researcher could use to access the document. In summarization
process which will enable the user/researcher to access the document they need,
questioning through natural language should be one of the policies to be taken
into consideration. Besides; information about time, place, person/agency and
subject that could be used to allow the user access the document, should
necessarily be involved in the document content and grammar rules should be
followed strictly. As for the determination and application of these, the use
of thesaurus and subject authority files is important for archiving practices
when selecting the subject and keywords. In this research, the rules to be
followed in document summarization and the importance of conceptual index in
accessing archive documents will be discussed by giving examples.
