EDITORIAL PRINCIPLES

PUBLICATION PRINCIPLES

  • Hazine-i Evrak Journal of Archival and Historical Research is an international, peer-reviewed journal published by the Directorate of State Archives of the Presidency of the Republic of Türkiye. It is published electronically twice a year, in June and December. Up to two special issues may be published annually.
  • Aim and Scope: The journal covers scientific research based on archival documents in the fields of social sciences and humanities; introductions to archival material preserved under various names and administrative structures in Türkiye and worldwide; the History and Development of Archival Studies; Archival Systems; Document Restoration; Digitization Methods; Public Records and Archives Management; e-Archive Systems; and the Introduction of Electronic Records Management and Archival Services, among related topics.
  • The journal includes original scientific articles, evaluations, analyses, book reviews, translations, and conference/seminar papers at both national and international levels in Turkish, English, and Arabic.
  • Decisions regarding articles to be published in Hazine-i Evrak Journal of Archival and Historical Research are made following an editorial review, Editorial Board assessment, and peer-review process. Articles must not have been previously published elsewhere or currently be under consideration by another publication. Symposium papers may be accepted provided that this status is explicitly declared and the text is adapted into the structure and content of a research article.
  • Manuscripts that pass the preliminary assessment based on publication principles are reviewed under a double-blind peer-review system by at least two reviewers, with author identities concealed. If one reviewer report is positive and the other negative, the manuscript is sent to a third reviewer, or the Editorial Board decides on its publication. Reviewer evaluation reports are retained for five years. Author(s) are required to consider the critiques, suggestions, and evaluations of the reviewers, Editorial Board, or editor. Authors are expected to comply with requested revisions diligently and promptly, submitting the final version within 15 days. Author(s) reserve the right to object to points they disagree with, provided they state their reasoning. In such cases, the final decision rests with the Editorial Board.
  • The publication of non-article submissions such as "Book Reviews," "Translations," "Conference/Seminar Papers," and "News," which conform to the "Formatting Guidelines" and "Publication Principles," depends on the evaluation of the Editorial Board and requires favorable reports from at least two members.
  • No manuscript or portion thereof may be copied, reproduced, or published elsewhere without proper citation.
  • Authors must obtain permission from the copyright holder when using previously published content, including printed or electronic images, tables, or any other material. Legal, financial, and criminal liability in this regard rests entirely with the authors.
  • Articles submitted for publication must strictly adhere to research and publication ethics.
  • Hazine-i Evrak Journal of Archival and Historical Research is an Open Access journal. Submission of a manuscript implies that the author(s) accept the rules of the "Open Journal Systems" established by TÜBİTAK DergiPark.
  • The legal responsibility for all published works rests entirely with the author(s), and the views expressed therein do not necessarily reflect those of the Directorate of State Archives of the Presidency of the Republic of Türkiye.

Plagiarism

During the submission process, a similarity report will be generated using the plagiarism software provided by DergiPark. The results will be sent to the author via email, after which the author may finalize the submission process.

The maximum allowable similarity rate for manuscripts submitted to our journal is 20%, excluding footnotes, bibliography, and direct quotations. Plagiarism reports are reviewed by the editors. If necessary, manuscripts may be returned to the author for revision or rejected.

FORMATTING GUIDELINES

Article Title

The title should not exceed 12 words. It must be written in bold, regular character format, Title Case (capitalizing the first letter of each word), centered, and set in Times New Roman, 12 pt. Author name(s) should be included, with an asterisk (*) leading to a footnote indicating institutional affiliations, email addresses, and ORCID identifiers.

Abstract

Original research articles must include an abstract in both Turkish and English positioned directly beneath the article title. The abstract should be a concise, single-paragraph summary of the topic ranging between 100 and 250 words. Up to 5 Keywords must be provided, written separately in Turkish and English. The font must be Times New Roman, prepared in MS Word.

Extended Abstract

Articles must include an extended abstract of 750–1,000 words preceding the "References" section. If the article is written in Turkish, the extended abstract must be in English; if written in English, it must be in Turkish. The extended abstract must be written in Times New Roman, 11 pt, and structured without subheadings or direct quotations.

Main Text

Manuscripts must be typed on standard A4 layout with 1.15 line spacing, set in Times New Roman, 12 pt. Research articles should be approximately 5,000–10,000 words (not exceeding 25 pages), book reviews around 2,500 words, and book notices around 1,500 words. Page margins must be set to 2.5 cm on all sides, and all pages must be numbered. Manuscripts written in Turkish must adhere to the current spelling guide and orthographic rules of the Turkish Language Association (TDK). Distinct fonts may be used for transcribed texts where appropriate.

Section Headings

Main headings, subheadings, and lower-level headings may be used to structure the manuscript and organize information logically. Main headings must be written in ALL CAPS and bold; subheadings and lower-level headings must be written in Title Case (first letter capitalized) and bold. Paragraph spacing should be set to 6 pt before and after.

Tables, Figures, and Images

Document images, as well as all non-tabular visual items (photographs, plans, maps, and drawings), should be categorized as "Figures." Tables and figures must be numbered and titled. Figure numbers and titles should be centered directly beneath the respective visual. Titles must be set in Times New Roman, 11 pt, while internal table text should be set in Times New Roman, 10 pt. All tables, figures, and image files must be embedded digitally alongside the text in TIFF or JPEG format at a resolution suitable for print (300 dpi).

Quotations

Short quotations must be enclosed within quotation marks. Quotations exceeding five lines must be block-indented 1 cm from both the left and right margins, set in 11 pt.

CITATION AND FOOTNOTE STYLE

Footnotes and references must strictly adhere to The Chicago Manual of Style (17th Edition, Notes and Bibliography System).

Sources used in the manuscript must be listed at the end under the heading "References" (Kaynakça) in alphabetical order by the author's surname, set in Times New Roman, 11 pt; footnotes must be set in 9 pt. Footnotes should contain information only for the sources explicitly cited.

Note: Pay close attention to punctuation—use commas between author names, titles, etc., in footnotes, and periods in the reference list.
