Generative Artificial Intelligence Usage Policy

1. Purpose of the Policy

ISVOS – Journal of Scientific and Professional Studies supports the ethical, transparent, and responsible use of Generative Artificial Intelligence technologies in scholarly publishing processes.

This policy has been prepared in accordance with:

TÜBİTAK Guidelines on the Use of Generative Artificial Intelligence

COPE (Committee on Publication Ethics) principles

International academic publishing and research ethics standards

2. Scope

This policy applies to:

Authors

Reviewers

Editors

Editorial Board Members

All manuscripts submitted to ISVOS are subject to this policy.

3. Definition of Generative Artificial Intelligence

Generative Artificial Intelligence refers to AI systems capable of producing text, images, data analyses, code, or other academic content (e.g., large language models, automated coding tools, and AI-based content generation systems).

4. Guidelines for Authors
4.1. Permitted Uses

Authors may use generative AI tools for:

Language editing and stylistic improvements

Assistance in literature review

Data analysis and visualization support

Code development support

General assistance during academic writing

However, the use of such tools does not transfer scientific responsibility away from the authors.

4.2. Disclosure Requirement

If generative AI tools are used significantly in the preparation of the manuscript, authors must clearly disclose this in the manuscript.

Example disclosure statement:

During the preparation of this manuscript, generative artificial intelligence tools were used for language editing and/or data analysis support. The scientific content, interpretations, and conclusions are entirely the responsibility of the authors.

4.3. Author Responsibility

Generative AI systems cannot be listed as authors.

Authors are fully responsible for the accuracy, originality, and integrity of AI-generated content.

All references must be verified by the authors.

AI-generated content is subject to plagiarism screening.

5. Prohibited Uses

The following practices constitute ethical misconduct:

Use of generative AI for plagiarism

Fabrication of data, results, or references

Uploading confidential, personal, or unpublished research data into AI systems

Using AI-generated outputs without verification

Manipulating the peer-review process using AI tools

6. Guidelines for Reviewers and Editors

Reviewers and editors:

Must not use generative AI tools during the evaluation process.

Must not upload submitted manuscripts to third-party AI systems.

Are obligated to comply with confidentiality, impartiality, and conflict-of-interest principles.

The peer-review process is strictly confidential.

7. Confidentiality and Data Security

All parties must comply with:

Protection of personal data

Confidentiality of unpublished research data

Protection of institutional and commercial information

8. Ethical Violations

If misuse of generative AI is detected:

The manuscript may be rejected.

A published article may be retracted.

An ethical investigation may be initiated.

The author’s institution may be notified if necessary.

ISVOS does not accept responsibility for ethical violations committed by authors.

9. Policy Updates

ISVOS reserves the right to update this policy in line with technological developments and evolving academic standards.
